This Privacy Policy explains how RespondMate, trading under the name GeoGladiator ("GeoGladiator", "we", "us", or "our"), processes personal data when individuals and organisations access or use the GeoGladiator platform ("the Service"). We are committed to handling personal data responsibly and transparently, fully in accordance with the General Data Protection Regulation (GDPR) and applicable European and Dutch privacy law. By using the Service, you acknowledge that personal data may be processed as described in this Policy.
GeoGladiator is owned and operated by RespondMate (KVK 73598070), based at Midbuorren 32, 9003 LB Warten, The Netherlands. Our Service provides AI-based optimisation, data transformation and product-feed enhancement for e-commerce sellers. Depending on the type of data processed, GeoGladiator acts as a data controller for account-level and operational information, and as a data processor for product information that is transmitted through webshop integrations. These roles are further detailed in our Data Processing Agreement (DPA).
When creating an account on GeoGladiator, you provide us with information such as your name, email address and login credentials, as well as company details and billing information. We also receive Service-related data when you contact our support team or interact with us for operational or technical assistance.
When you connect your webshop through one of our integrations, such as WooCommerce, Shopify, Shopware, Magento, Lightspeed, JouwWeb, MijnWebWinkel, CCVShop or similar platforms, we process only the product information that the integration transmits to us. This may include titles, descriptions, attributes, variants, identifiers, categories, stock levels, pricing information and other metadata necessary for product optimisation.
GeoGladiator does not collect, process or store any order-related personal data, customer information or transactional records. Order data and customer details pass directly between your webshop and its connected systems without being stored or inspected by GeoGladiator.
In addition to account and product data, we collect technical information automatically when you access the platform. This may include your IP address, browser type, device information, login timestamps, diagnostic information, performance data and usage activity within the Service. This information helps us ensure the stability, security and optimal functioning of the platform.
We also use cookies and analytics technologies to improve user experience, maintain security and analyse the performance of the Service. Cookies may be used to authenticate users, remember preferences or assist in preventing fraudulent access.
We process personal data primarily to operate, maintain and improve the Service. This includes authenticating users, managing accounts, optimising product feeds, synchronising data with connected webshops, providing AI-driven improvements and generating outputs required by the Customer. Processing also occurs for security purposes, including detecting suspicious activity, preventing misuse, and monitoring the technical health of the platform. In some cases, we may use your contact information to communicate Service updates, important account messages, technical notices or policy changes. We also process data when compliance with legal obligations is required.
Under GDPR, GeoGladiator processes personal data on the basis of contractual necessity when such processing is required to deliver the Service you subscribe to. Certain processing activities rely on our legitimate interests, such as improving platform reliability, preventing fraud and maintaining security. Some data may be processed to meet legal obligations. Where consent is required by law, you may withdraw it at any time without affecting the lawfulness of prior processing.
GeoGladiator does not sell personal data. We may share data with third-party service providers who assist us in operating the platform, including cloud hosting partners, infrastructure systems, authentication providers, log processors and analytics tools. These subprocessors act strictly on our instructions and are contractually bound to protect personal data in accordance with GDPR. We may disclose personal data if required by law, court order or regulatory authority. In the event of a merger, acquisition or other business transaction, data may be transferred accordingly.
Because GeoGladiator only processes product data and does not ingest or store customer or order information, no such personal data is shared or transferred by us.
You remain responsible for ensuring that any product information you provide or synchronise with the Service is lawful, accurate and authorised for processing. You must ensure that your webshop privacy notice accurately reflects your data practices and any third-party processors you use. GeoGladiator does not verify or validate the data you transmit and cannot be held responsible for inaccuracies, unlawful data, misconfigurations or issues originating from your webshop or connected systems.
GeoGladiator is hosted on Google Cloud. Depending on Google's infrastructure and regional configuration, data may be processed or stored outside the European Economic Area. In such cases, we rely on legally recognised transfer mechanisms such as Standard Contractual Clauses (SCCs) and additional safeguards implemented by Google Cloud to ensure that personal data remains adequately protected.
We retain personal data only for as long as necessary to fulfil the purposes described in this Policy. Account information is stored as long as your subscription remains active and may be retained for a limited period thereafter for administrative or legal purposes. Product data is retained only while your webshop is connected and for the duration of Service operations. Technical logs are retained as required to maintain the security, reliability and lawful operation of the platform. Once data is no longer needed, it is deleted or anonymised in accordance with our retention practices.
We implement technical and organisational measures designed to safeguard personal data against loss, misuse or unauthorised access. This includes secure hosting infrastructure, encryption in transit, role-based access controls and continuous monitoring. No system can guarantee absolute security, and we cannot be held liable for breaches resulting from customer-side misconfiguration, compromised credentials, third-party platform issues or external factors beyond our reasonable control.
Under GDPR, you may have the right to access, correct, delete, restrict or object to the processing of your personal data, as well as request data portability where applicable. To submit a request, you may contact us at support@geogladiator.com. If we process data solely on behalf of a Customer, we may refer you to that Customer to exercise your rights.
GeoGladiator is not intended for individuals under eighteen years of age, and we do not knowingly collect personal data from minors. If such information is discovered, we will take steps to delete it promptly.
We may update or revise this Privacy Policy from time to time to reflect changes in legislation, operational adjustments or improvements to the Service. When material updates occur, we will revise the "Last updated" date and may notify you through the Service or by email. Continued use of GeoGladiator indicates acceptance of any revised Policy.
